REMINDER: information required to assess interim claims for outlays

To support you in ensuring claims are processed efficiently and without unnecessary delay, we are providing this update as a reminder of the key information that must accompany each interim claim submission for outlays.

We appreciate your continued efforts in managing and submitting interim claims for outlays. Our aim is to work with you to make the process as straightforward and efficient as possible.

There has recently been a noticeable increase in claims that require follow up queries or us having to reset the account to draft because essential supporting documents or required invoice details were not included.

We understand the pressures on your time and aim to minimise additional administration wherever possible.

This update sets out the information we need to assess interim claims promptly and accurately. By including all required documentation at the outset, you can help us process claims more quickly and avoid delays in payment.

A reminder of the information we need to be able to process your claim

Reporters’ Accounts

Child welfare reports

The Form 44 and the interlocutor appointing the child welfare reporter confirming who is to be liable for the costs must be uploaded to the work item along with the reporter’s account.

Curator reports

The interlocutor appointing the curator confirming who is to be liable for their costs must be uploaded to the work item along with the curator’s account.

Safeguarder reports

The interlocutor and/or warrant appointing the safeguarder confirming who is to be liable for their costs must be uploaded to the work item along with the safeguarder’s account.

Basis for charging – child welfare reporters, curators and safeguarders

To avoid any delays in payment, child welfare reporters, curators and safeguarders should charge their accounts in accordance with our published guidance.

Invoices

The content of invoices can vary depending on the third-party supplier. You should ensure that the invoice meets our requirements as outlined in our published guidance, listed below. If the invoice does not include all the relevant information, you should contact the supplier to have the invoice amended before submitting it to us.

Contact centre invoices, including family mediation

We published guidance in April 2025 reminding solicitors and third-party suppliers of the information that requires to be included in the invoice. We also created a template that could be adapted by third party suppliers to help with this.

In addition, a copy of the interlocutor ordering supervised contact, supported contact, or mediation must be uploaded to the work item along with the invoice.

Experts, professionals and ordinary witnesses

Where travel and mileage is being claimed, the invoice must state where the expert/professional has travelled from and to for the outward journey, and from and to for the return journey.
